What a trial balance actually tells you — and what it does not

A balanced trial balance proves the arithmetic, not the accounting. Here are the six errors it will never catch.

The comfort of a balanced trial balance

Every bookkeeper knows the small relief of a trial balance that balances. It is a genuine check — it proves that every debit has a matching credit and that the postings have been carried correctly. What it does not prove is that any of those postings were right.

The six errors a trial balance cannot detect

A trial balance is blind to errors that preserve the double entry. An error of omission, where a transaction was never recorded at all, leaves the balance intact. So does an error of commission, where the right amount goes to the wrong account of the right type — a sale posted to the wrong customer. An error of principle, where an amount goes to a wholly wrong class of account, such as capital expenditure charged to repairs, also balances perfectly. Compensating errors, where two mistakes happen to offset, balance by definition. A complete reversal of entry balances. And an original entry error, where the wrong figure was taken from the invoice and posted consistently to both sides, balances too.

What to check instead

This is why reconciliation matters more than the trial balance. Reconcile the bank, the control accounts, the supplier statements and the payroll to the ledger. Review the profit and loss against expectation and investigate anything that moved more than it should have. Scan capital expenditure and repairs for items in the wrong place. None of this is glamorous, and all of it catches what the trial balance cannot.

Where this is taught

The mechanics of the trial balance are covered in Accounting Fundamentals and the error-hunting discipline in Bookkeeping Essentials. Learners on both programmes work through a month of transactions containing deliberately planted errors of each type.
